The American Academy of Pediatrics (AAP), the nation’s leading advocacy organization for children’s healthcare, is seeking a highly organized and execution-focused leader to oversee the operations of and provide administrative management to the Committee on Fetus and Newborn (COFN), the Section on Neonatal-Perinatal Medicine (SONPM) and its related subcommittees and projects, and will support AAP members in the management of neonates and infants. This role will lead highly visible initiatives and will represent the interests of neonatologist members in meetings with internal and external partners, including to AAP senior leadership and Board of Directors, and other applicable medical/child advocacy organizational partners and coalitions. Reporting to the Sr Director, Pediatric Practice and Health Care Delivery, this position will also identify and pursue opportunities to support and advance neonatal and perinatal-related initiatives.
Some tasks include:
1. Provide primary staff support to COFN and SONPM and its associated subcommittees and related projects including agenda development, meeting planning, meeting minutes, newsletters, and completion of proposals, projects, and other action items. Utilize virtual technology to support constituent activities as appropriate.
2. Work collaboratively with other members of the neonatal perinatal initiatives team to ensure timely completion of deliverables and jointly provide a high level of administrative support and customer service to members and partners.
3. Manage all essential business processes including elections, bylaws, core/non-core budgets, strategic planning, and peer review. Develop internal memoranda and program proposals in accordance with established protocols and formats (e.g. SBAR, continuing medical education program proposals, etc.).
4. Facilitate the development and management of AAP policy as it pertains to neonatal and perinatal care. Serve as the technical consultant to internal and external constituents regarding COFN policy interpretation, and to COFN members and liaisons regarding AAP policy development processes, ensuring that established AAP process and timelines are followed. Prepare and arrange for dissemination of policy-related information to the public/parents/media in collaboration with appropriate AAP staff.
5. Facilitate and manage editing, proofing, reference verification of policy transcripts, manuals, and other documents, including Board of Directors review of COFN work products. Review content of in-progress publications for consistency with existing AAP policy and elevate questions regarding this to supervisor. Secure/negotiate copyright releases and/or reprint permissions for table and other materials as needed.
6. Innovate, facilitate, implement, and manage related value-add projects (e.g. grants, scholarships) for the SONPM.
7. Network and establish strong relationships with neonatologists and other related constituents, working with member leaders to establish and implement a strategic plan for neonatal and perinatal initiatives at the AAP and promoting COFN/SONPM interests as appropriate.
8. Oversee and manage communication platforms, such as Community Platforms, SharePoint Collaboration sites, listservs, web pages and newsletters, providing technical assistance to members as needed and ensuring content is updated regularly.
9. Develop written proposals for conferences and special projects, working closely with Development, and assisting in identifying corporate, foundation, and other funding sources; administering and managing contributions; and adhering to reporting requirements of both the AAP and the funder.
10. Manage the development of perinatology and neonatology-related educational and training offerings, including providing support for planning, completion of CME applications, and on-site facilitation of the Workshop on Neonatal-Perinatal Practice Strategies, board review courses, etc.
11. Collaborate and coordinate with AAP Advocacy staff in matters pertaining to legislation, coalition activity, Congressional hearings, and proposed rule-making with child health implications related to neonatal-perinatal topics.
12. Manage all assigned grant and contract activities. Meet with funders as needed to discuss ongoing and future activities and represent the AAP in meetings with federal project officers and other grant-related constituents. Manage the development of program subcontracts, including preparation of licensing agreements/contracts, review of products/materials, and management of expenditures.
13. Respond to telephone and written inquiries from AAP members, allied health professionals, governmental agencies, and others regarding assigned activities.
14. Prepare activity reports, including information for internal and external publications, newsletters, and status reports. Prepare annual reports for assigned groups.
15. Analyze clinical and public health issues and policies and provide perinatal and neonatal-related technical and editorial assistance to committees and sections in the development of AAP policy, programs, projects, and publications.
16. Develop and maintain assigned budgets. Ensure that monthly budget details, variance reports, and budget reconciliations are reviewed in a timely manner.
17. Perform all other duties as assigned.
Qualified candidates will possess:
1. Bachelor’s degree in public health, health education, allied health, health/business administration or related discipline or an equivalent combination of relevant education and work experience required. MPH or other master’s degree in related discipline strongly preferred.
2. Minimum five years’ related experience in public health program planning and administration required, including child health, technical writing, budget management, fostering relationships with key partners, and supervising staff or serving as a team lead. Medical association, continuing medical education (CME) program development, needs assessment, and grants management experience highly desirable. Experience working with neonatologists or working in a patient setting is a plus.
3. Excellent critical thinking, analytical, organizational, interpersonal, diplomacy, verbal/written communication, leadership, and technical writing/editing skills required, with the ability to review and synthesize published articles, data, and other materials to inform policy. Strong technical acumen essential with proficiency in MS Office and the ability to learn and apply new technologies; experience with web editing/document collaboration platforms (e.g., SharePoint, Breezio), budgeting software, and virtual meeting platforms (e.g., WebEx, Teams) preferred. Must be able to manage multiple priorities simultaneously, pay close attention to detail, take initiative, work both independently and as part of a team, manage a heavy workload, collaborate effectively with various internal and external constituents., and promote and maintain a positive and cooperative team-oriented work environment with a commitment to fostering a culture where everyone feels valued and respected. Knowledge of medical terminology, health care industry, medical education, public health priorities as well as perinatal and neonatal care preferred. Some travel and evening/weekend work required, as well as the ability to be flexible with work schedule to accommodate physicians’ availability.
Hybrid work environment of 40% of work time in the Itasca, IL office per month.

A reasonable estimate of the current base pay range for this position is $110,509.58 – $116,649.00. Compensation decisions take into account a wide range of factors, including but not limited to relevant experience, skills, certifications, geographic location, business needs, and organizational policies. In addition to those factors, we believe in the importance of pay equity and consider internal equity of our current team members as a part of any final offer.
