Job Description Summary:
Works with Pharmacology & Therapeutics Department faculty to increase the number of high-quality grant submissions resulting in an increase in external funding for the department. Overseas application preparation, including editing, formatting and revising grants; maintains centralized database of submitted applications. Provides training and technical assistance for grant submissions to investigators and support staff as needed; assists with preparation of progress reports and submissions to sponsor and ensures Other Support documents remain current. Additionally, provides administrative support for the department and education program.
Primary Duties:
Assists with scientific grant application development; coordinates the necessary documents for a complete application submission from multiple parties involved in the particular application.
Proofreads, formats, edits and revised grant proposals for proper grammar and writing.
Prepares, assembles and coordinates delivery of grant documents/submission of electronic application through online mechanisms in collaboration with the department assigned administrative staff.
Tracks status of submissions; determines if additional materials are needed for just-in-time or other subsequent responses to the funding agency.
Submits online applications to pharmaceutical or other corporate sponsors for CME related events.
Serves as liaison with Roswell Park staff members to obtain program information and coordinates the submission of online requests to secure grant funding from pharmaceutical companies for symposia, meeting and other sponsorship in coordination with the Development Department.
Searches for funding opportunities; locates appropriate funding opportunities for investigators; reviews guidelines and determines eligibility; compiles newsletter with funding opportunities distributed campus-wide.
Compiles scientific annual report as delegated by Director, Grant and Foundation Development.
Develops and implements training for administrative/support staff about grant-related topics.
Maintains internal database for the department.
Prepares and analyzes reports on grants submitted from the office.
Performs other clerical/administrative tasks as necessary.
Maintains established departmental policies and procedures, objectives, quality assurance programs, safety and compliance standards.
Enhances professional growth and development by participating in educational programs, reading current literature, and participating in in-service meetings and workshops.
Prepares written documentation as required by the profession and the department; maintains, distributes, analyzes and projects information for required records, reports and statistics as directed.
Attends meetings as required.
Performs other related duties as assigned or requested.
Other Descriptive Elements:
The Grant Coordinator typically reports to the Director, Grants and Foundation Office. The incumbent has the authority to make decisions or commitments that require interpretation of the organization’s policies and procedures. More difficult decisions may be referred to superiors for their recommendations. Decisions are varied and based on well-defined guidelines and practices.
Relationship with Others:
The Grant Coordinator has frequent contact inside and outside of the department with other departments, divisions and/or groups. The incumbent also has day-to-day contact with customers, vendors or sales representatives.
Functional Responsibilities:

While performing the duties of this job, the Grants Coordinator is frequently required to sit, use hands or fingers to manipulate, touch or handle and talk or hear. The incumbent is occasionally required to stand. They are occasionally required to lift and/or move up to ten (10) pounds. Preferred Qualifications:
The preferred candidate should have a Bachelors’ degree and experience working in an academic/research environment. The preferred candidate must have previous experience with preparing budgets and experience with preparing and working with grant submissions. The preferred candidate must have the ability to handle multiple tasks in a deadline driven environment; have excellent organizational skills, attention to detail, and the ability to work independently as well as with a team
